Managing Users
Add team members, assign roles, and set up station credentials.
Every person who signs in to Pluraprint, whether to submit print jobs, manage printers, or review approvals, has a user account. User accounts are created by administrators; there is no public sign-up.
Viewing users
Open Admin in the sidebar, then choose Users. The table lists every user in your organization, with a search box to find someone by name, username, or email.
Adding a user
Select Add User and fill in:
- Username: used to sign in (for example,
jsmith). - Full Name: the person’s display name, shown throughout Pluraprint.
- Email: used for sign-in (with email/password) and notifications.
- Password: at least 8 characters. The user can be told this password, or you can have them sign in via single sign-on instead if your organization uses it.
- Roles: one or more roles that determine what this person can see and do. See Roles & Permissions for what each role grants.
Editing a user
Select a user from the table and choose Edit to update their name, email, password, or roles. Leave the password field blank to keep their current password unchanged.
Station credentials (PINs and cards)
If your organization uses Stations: kiosk-style screens near your printers: team members can identify themselves at a station with a PIN or a card (such as an ID badge) instead of signing in with a username and password.
To set these up for a user:
- From the Users table, select Manage Credentials for that user.
- Choose a credential type:
- PIN: a 4–8 digit number the person enters at a station.
- Card Number: the number/UID read from an ID card or fob.
- Enter the value and an optional label (for example, “Blue card”) to help you tell multiple credentials apart.
- Select the add button to save it.
Each user can have multiple active credentials. If a card is lost or a PIN is compromised, select Revoke next to that credential. It stops working immediately, and the user’s other credentials are unaffected.
